Wollaton Historical & Conservation Society (WHaCS) is committed to protecting and respecting your privacy. This Privacy Policy sets out the way we process your personal information and we have created this page to make sure you are aware of how we use your data.

This Privacy Policy describes how WHaCS ("we", "us", or "our") collects and uses your personal information. For the purposes of this Privacy Policy, "you" and "your" means you as the user, whether you are a website visitor, WHaCS member, customer, or another individual whose information we have collected pursuant to this Privacy Policy.

For the purpose of applicable data protection laws, unless explicitly stated otherwise, we are the data controller of your personal information.

This privacy policy may be modified at any time. If changes are made, the “Page Last Updated” date (at the bottom of this page) will be revised.


Cookies

The WHaCS website does not use:

  • Functional cookies
  • Statistical cookies, e.g. Google Analytics
  • Marketing cookies

The WHaCS website does use strictly necessary cookies:

  • These are first-party cookies which allow PayPal to hold your items in your cart while you are shopping online.
  • While it is not required to obtain consent for these cookies, we mention them here as we want you to know about them.
  • If you make no transactional activity on our website, then these cookies will not be applied.

The WHaCS website and embedded content:

  • Articles on our website may include embedded content, e.g. video links from YouTube.
  • The content from other websites behave in exactly the same way as if you had visited that website directly.
  • Those websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with embedded content.
  • Your interaction with the embedded content may be tracked if you have an account and are logged in to that other website.

PayPal

For transactional activity, WHaCS ("the seller") uses PayPal:

  • PayPal is an independent Controller for the purpose of Processing Customer Data.
  • When you make a PayPal transaction we, "the seller", and not our website, will see:
    • your name
    • the email address associated with the transaction
    • your shipping address (not your billing address, unless it is the same)
    • your phone number (where provided)
    • the transaction details like amount, date, and items purchased
  • When you make a PayPal transaction neither we, "the seller", nor our website, sees:
    • your bank account
    • your credit or debit card numbers
  • If you do not make any transactional activity, then nothing is collected.

Data

In terms of the WHaCS website and storage of personal data:

  • No personal data is stored on our website.
  • If you have a General Member log in to our website, no personal details are associated with that user name or password.

We list here what data is stored elsewhere by WHaCS, and not by our website:

  • We have a contact form on our website which allows you to send us a message or enquiry:
    • The details you fill in are passed on to us by email, but are not stored on the website.
    • The emails are retained for only as long as necessary, in order to respond to you.
    • If you do not use the contact form, then clearly we will not be collecting this data.
  • If you are a WHaCS member:
    • We retain your first name, family name, email address, postal address and contact number, on a password protected computer file.
    • We hold details on whether your membership is active and an annual subscription paid.
    • We use a subscription management service, Mailchimp, to manage our mailing list; this is solely for WHaCS contact purposes.
    • We record only your first name, family name and email address in Mailchimp.
    • You can update your preferences or unsubscribe from the WHaCS mailing list at any time.
    • Your information with Mailchimp will be handled in accordance with their Global Privacy Statement.

Where we have acquired personal data:

  • It is not kept in a form which permits identification of data subjects for longer than necessary.
  • It is limited to what is relevant for the purposes for which it is being processed.
  • It is kept secure in order to prevent unauthorised access or disclosure.
  • It is not sold or shared with third parties.
  • It is deleted or anonymised when it is no longer needed.
  • It is deleted after six months of unpaid membership for WHaCS members.

Invasion of Privacy

Any personally identifiable details or images, that you consider an invasion of privacy, please notify us so we can review and take the appropriate action.


Your Rights

Depending on where you live, you may have some or all of the rights listed below in relation to your personal information. However, these rights are not absolute, may apply only in certain circumstances and, in some cases, we may decline your request as permitted by law.

  • Right to Access: You may have a right to request access to personal information that we hold about you, including details relating to the ways in which we use your information.
  • Right to Delete: You may have a right to request that we delete personal information we maintain about you.
  • Right to Correct: You may have a right to request that we correct inaccurate personal information we maintain about you.
  • Right to Appeal: You may have a right to appeal our decision if we decline to process your request. (You can do so by replying directly to our denial.)

You may exercise any of these rights using our Contact form.

  • We will not discriminate against you for exercising any of these rights.
  • We may need to collect information from you to verify your identity.
  • We will respond to your request in a timely manner as required under applicable law.
